Swap yourdomain.co.za for your own domain. Your password is the one for the mailbox, not your website login.
Two things to have ready.
Your full email address and its password. That password is specific to the mailbox — it is not the one you use to log into the website, and it is not your Apple ID. If you do not have it, ask us and we will reset it rather than guess.
Everywhere you see mail.yourdomain.co.za, put your own domain in its place. If your address is [email protected], your server is mail.acme.co.za. This one substitution is behind more failed setups than everything else combined, so it is worth getting right before you start typing.
Set the phone up on IMAP, which is what these settings use. IMAP keeps the phone and the server in step, so a message you read on your laptop shows as read on your phone, and a folder you make in one place appears in the other.
Adding the account
1. Open Settings
On the phone, open Settings, scroll down to Apps, then tap Mail. On older iOS, Mail sits directly in the Settings list.
2. Add Account
Tap Mail Accounts, then Add Account. From the list of providers, choose Other at the very bottom, then Add Mail Account.
3. Your details
Name as you want it to appear, your full email address, the mailbox password, and a description like "Work mail". Tap Next.
4. Choose IMAP
At the top, make sure IMAP is selected rather than POP. IMAP is the tab on the left and is usually already chosen.
5. Incoming server
Host Name is mail.yourdomain.co.za — your domain, not ours. Username is your full email address.
6. Outgoing server
Host Name is the same mail.yourdomain.co.za. Enter the same username and password again — iOS calls these optional. They are not.
Tap Next. The phone checks the settings, which takes a few seconds. When it finishes, make sure Mail is switched on and tap Save. Open the Mail app and your messages will start arriving.
The things that usually go wrong.
Nine times in ten the username is wrong rather than the password. It must be your whole email address, not just the part before the @. Also check the keyboard has not capitalised the first letter — iOS does this automatically and mail servers are case sensitive.
The outgoing server is missing its login. iOS labels those fields optional, so it is easy to skip them. Go to Settings → Apps → Mail → Mail Accounts, tap the account, tap the account name again, then SMTP and the primary server. Fill in your full email address and password there, and make sure the server is switched On.
Give it a full minute before deciding it has failed — the first check can be slow. If it eventually says it cannot connect using SSL, choose to set the account up anyway and then correct the ports afterwards in the account's Advanced settings. If it still will not verify, try it off Wi-Fi on mobile data: some office networks block mail ports.
The phone is deleting to a different folder than the server expects. In the account settings, open Advanced and set Deleted Mailbox to the Trash folder on the server rather than On My iPhone. The same applies to Drafts and Sent.
No. With IMAP you can have the same mailbox on as many devices as you like and they all stay in step. Only remove it from a device you no longer control.
